Completing Contract Compliance Audits as Prime Contractor

It is your responsibility as a prime contract to provide payment information for each of your subcontractors on your contract.

Completing a contract compliance audit

  1. View the audit notice.  Refer to Viewing a Contract Compliance Audit.

  2. Click View/Submit Response at the top of the page.

The Diversity Audit: Vendor List page appears.

  1. Scroll to the bottom of the page to view the Subcontractor Audit Information box.  Each subcontractor will be displayed.

  2. To submit payment data for an incomplete line, click the red Submit Response link in the Actions column.

The Diversity Audit: Prime Contractor Response page appears.

    1. In the Subcontractor Information box:

    1. Review the subcontractor information for accuracy.

    1. In the Preview Payment Information box: :

    2. Review the payment information for accuracy.

    1. In the Audit Information box, enter the following:

    2. In the Amount Paid for [Time Period] field, enter the amount you paid the subcontractor during the indicated time period.

NOTE:  Enter the amount PAID, not the amount INVOICED.  Do not enter the total paid to date, only the amount paid DURING the indicated time period.

    1. (Optional) To attach a file, click Attach File. For more information about attaching files, see Attaching a file.

    1. (Optional) To check the spelling, click Spell Check.

    2. Click Review, and then review the information for accuracy.

    3. When you are finished reviewing the information, click Save.

The Diversity Audit: Prime Contractor Response Submitted page appears.

    1. The subcontractor is immediately notified of the need to confirm the payment data you submitted.

NOTE:  Once a subcontractor confirms a payment, you will not be able to change the data and must contact your contract compliance officer.

    1. If there are additional incomplete subcontractor lines, a box will be displayed with the name of the next subcontractor.  Click Next Subcontractor to submit payment data.

NOTE:  Even if you have not made any payments during the indicated time period, you must still submit a $0 value.

NOTE:  If you do not respond by the Date Response Due field on the Audit Notice, you will be prevented from submitting data.  To get an extension to the due date, contact the designated contract compliance officer.

  1. The audit response is complete when payment information for ALL lines has been submitted.

  2. The payment information you submitted is displayed in the Subcontractor Audit Information box on the Diversity Audit: Vendor List page.  The status of the subcontractor response is displayed in the Confirmed by Sub column as Pending, Yes, or Discrepancy (refer to Responding to an Audit Discrepancy).

TIP:  Once you have submitted the non-zero amounts paid to your subcontractors, click Mark Remaining Subcontractors as Zero to mark the remainder with $0 amounts.
