Viewing an audit discrepancy
View the contract audit for the relevant time period.
From the main window of the application, in the Dashboard, click any of the red numbers to the right of Audit Discrepancies.
From the toolbar, select View, then click Audits/Utilization Reports.
From an email or fax notification you received, click the link or enter the provided URL into your Internet browser. You will be directed to the login page. When you log in, you will be immediately redirected to the audit notice.
The Vendor Control Panel: Audits page appears.
NOTE: You can sort and filter the audit list. Click any column title to sort, click any drop down menu under the column title to filter the list.
Click on any of the red Discrepancy links, or click the Reference # or Contract # for the audit you wish to view.
The Diversity Management: Audit Notice page appears.
Prime contractors:
Click View/Submit Response at the top of the page
The Diversity Audit: Vendor List page appears.
Scroll to the bottom of the page to view the Subcontractor Audit Information box. Each subcontractor will be displayed.
Click the red Resolve Discrepancy link, if visible, to view the audit discrepancy.
Subcontractors:
Click Resolve Discrepancy at the top of the page.
NOTE: Subcontractors with more than one assignment to the same contract will see multiple buttons at the top of the page. Click the Resolve Discrepancy button corresponding to the subcontract you want to resolve.
The Diversity Audit: Discrepancy Resolution page appears. Information about the audit is displaying, including contact information for the contract compliance officer, prime contractor, and subcontractor. Click any name or email address to message that user.
Resolving an Audit Discrepancy
Use the audit discrepancy resolution feature ONLY after your have resolved the discrepancy with the other party. Do not use this feature if you have not yet discussed the issue with the other contractor. If both parties do not correctly report, the discrepancy will not be cleared.
Click the Resolve Discrepancy button at the top or bottom of the page.
The Diversity Audit: Discrepancy Resolution Compose page appears.
In the Reported Audit Information box:
Review the information for accuracy.
In the Audit Information box, enter the following:
In the Final Reported Amount Paid for [Time Period] field, enter the amount you paid the subcontractor during the indicated time period.
NOTE: Enter the amount PAID, not the amount INVOICED. Do not enter the total paid to date, only the amount paid DURING the indicated time period.
(Optional) To attach a file, click Attach File. For more information about attaching files, see Attaching a file.
(Optional) In the Comments field, type a comment.
(Optional) To check the spelling, click Spell Check.
Click Review, and then review the information for accuracy.
When you are finished reviewing the information, click Save.
If the other contractor has already responded, the system will attempt to clear the audit discrepancy immediately. The payment amounts provided by both parties are compared. If they are within a set margin (usually $5), the discrepancy is cleared; otherwise, the contract compliance officer will be alerted to review and clear the discrepancy.
If there truly is a dispute, such as unpaid invoices, do not use the audit discrepancy resolution feature. Contact your contract compliance officer listed for this contract immediately.
NOTE: Contact the other party BEFORE using this feature to agree upon an amount to report. Both parties must report the same amount to clear the discrepancy.
